Open with the context of the enquiry

When responding to a customer, explain which product or request you are discussing. A short message such as “Here is the revised quotation for the items we discussed today” helps them recognise the conversation. Avoid starting with an unrelated catalogue dump. Keep the message relevant to what the customer asked you to provide.

Send the document the customer needs

Check the attachment before sending it, especially when several quotation versions exist. Use the correct customer document and explain significant revisions in a short sentence. Avoid sending internal notes, another customer details or screenshots containing unrelated records. Previewing the document is part of preparing a useful and appropriate response.

Keep the next action explicit

If you need an answer, ask one clear question. You might confirm the delivery address or ask whether a product variant matches the requirement. When the customer responds, record important business decisions with the lead or document. A long chat thread should not be the only place where your team can find an agreed change.

Respect the customer contact preferences

Use your company approved messaging process and respect requests to stop or pause contact. Do not treat one enquiry as an invitation to send unrelated campaigns indefinitely. Connection availability, provider requirements and company configuration affect how messaging works. Ask the administrator when you are unsure which sending account or workflow is appropriate.

Connect messages with CRM context

EngageNet provides supported WhatsApp connections, chats and messaging where configured. Use the available message history alongside lead and follow-up notes according to your permissions. If a connection is unavailable, tell the responsible administrator and use an agreed alternative; do not assume that a CRM plan by itself activates a messaging provider.
