Agree the purpose before travelling

Confirm who you are meeting and what the visit is intended to achieve. A product discussion, quotation review and collection conversation need different preparation. Check the time and location directly with the customer. Knowing the purpose helps you bring relevant information and avoids expecting a decision the customer was not planning to make.

Read the latest customer context

Review the lead notes, recent conversations and documents you are authorised to access. Check whether a colleague has made a promise since your last interaction. Identify the questions you need to resolve during the visit. This preparation prevents the customer from having to repeat the same requirement to multiple people from your business.

Bring current and relevant documents

Prepare the correct quotation or product information, and check any figures you intend to discuss. If availability or a price needs confirmation, get that answer from the responsible colleague first. Avoid bringing a document just because it was the last file on your phone; verify that it reflects the current conversation.

Record decisions, not just attendance

After the meeting, note what the customer confirmed, what is still open and who will take the next action. Separate a customer interest from a firm commitment. If they requested a revised offer, capture the exact change. Keep the record focused on business outcomes rather than simply writing that the visit happened.

Use the existing lead notes, follow-ups and related documents to preserve the visit outcome. Set the next follow-up date when appropriate and update the lead stage to reflect the conversation. The value comes from the team knowing what to do next; it does not require claiming that a meeting produced an order before one is confirmed.
